AVG Travels offers you a “Instalment Payment Plan”, you will be required to settle a small deposit followed by a series of instalments when you select to book your departure tour.

• First payment: You will be required to settle a $300 per person deposit online through our website link
• Second payment: You will be required to settle the second payment $2,000 per person after 7 days when you receive our company invoice
• Final payment: Final payment will be collected 120 days before your departure.

However, you will have a 7-day cooling off period. Please refer to the “Flexible Cancellation” section.

Flexible Cancellation
If you change your mind within 7 days of making your booking online, you can request a refund of your initial deposit payment. Once your purchase date falls outside of the 7-day period, our standard terms and conditions will apply.

Please ensure that any request to cancel your booking is received via email to [email protected], including the reason for cancellation.

This is a land package only that excludes return international air tickets from Australia.

If you would like to add airfares to your booking, please select the departure city where we have the economy return flights add-on for your selection.  If you would like to book the business class or premium class, please contact us anytime and our ticketing expert would assist you. Currently we use Emirates Airlines or similar.

Flight requests, amendments or preferences
We understand customers may wish to request changes to their included airfares. If you wish to fly with a certain airline, land at a certain time or change your flight in other ways we will gladly provide you with a personalized quote tailored to your specific requirements.

We would be more than happy to provide you with a quote for the following requests:
Airline Preferences – You may wish to fly with a particular airline
Cabin Preferences – These include upgrading to premium economy or business class
Extensions (start and end cities must remain the same) – You may request to extend your stay pre or post tour.
Meal Requests – You may request a specific meal for dietary requirements.
Seat Requests – If you would like to request particular seating. However please note, not all airlines allow the selection of pre-purchased seat arrangements.

Independent Travel
This itinerary is classified as an ‘independent tour’. Your accommodation, transportation and sightseeing are all pre-arranged, you just have to make your own arrangements to the certain pick-up locations. When it comes to your sightseeing and touring inclusions, these may be private for just you, or they might be shared with the general public and other travellers. 

Accommodation
The accommodation listed is subject to change. Any changes will be of an equal or higher standard. Bedding configurations (double or twin) are requests only. All efforts will be made to meet your preferences however any changes are beyond our control.

Single Supplement
Single supplement is $1595 per person in addition to the twin share price.

Physical Requirements
Representatives cannot devote the level of special attention that a guest with a particular disability may require. Persons needing assistance for personal needs must be accompanied by an able companion.

Liability Waivers
The suppliers providing Adventure activity products will require participants to complete and sign a liability waiver form. This is mandatory and is locally processed. Passengers must be made aware of this procedure and must be aware that they will not be provided with the service should they refuse to sign the Liability Waiver form.
Each supplier has its own form. Here are the most common terms and conditions usually included in a Liability Waiver agreement:

1) Any risk, dangers and hazards of the activity are fully understood and assumed by the passenger

2) The possibility of personal injury, emotional trauma, illness, unanticipated event, death, loss or damage to property are entirely at the passenger’s own risk

3) The passenger agrees to waive any and all claims against the Company arising from the participation in the adventure activities

4) The agreement will be effective and binding upon heirs, next of kin, executors, administrators and all persons who may be entitled to  assert a claim as a result of an injury to the passenger

5) The passenger confirms being mentally and physically fit and fully able to participate in adventure travel There are no special medical requirements but exceptions would be included in the form if applicable

6) A parent or guardian will have to read and sign the agreement on behalf of the passengers under 18 years of age

Special Conditions on Adventure Activity Products
Suppliers reserve the right to deny participation in certain activities to passengers with physical limitations or health concerns if they consider it unsafe.

Tipping
Gratuities have not been included in the rates for any guided package. In Canada, it is customary to tip approximately 15-20% in restaurants, lounges, etc, if satisfactory service has been provided. It is also customary for clients to offer a tip for the tour guide/driver on sightseeing tours, as well as the guide for a guided adventure programme (usually $2-$3 per person per day). However, tips are not obligatory and should reflect the client’s degree of satisfaction relative to services provided.

Group Size
This itinerary is operated on an independent basis with no minimum or maximum group size.

Visa & Passport information
It is the traveller’s responsibility to ensure they have a valid passport. The passport must be valid for a minimum of six months from the intended date of return and must have more than 2 blank pages.

AUS Passport holders:
You need an ETA for Canada if you have an Australian passport – https://arrivecan.cbsa-asfc.cloud-nuage.canada.ca/en/welcome.

Children
Children under the age of 8 years will not be permitted to travel on this tour.

Travel Insurance
Travel insurance is recommended to protect yourself against the unexpected. In addition to the support that a policy may provide, you may be asked to present a copy of your travel insurance documentation while traveling. We have partnered with NibTravel Insurance to offer our customers competitive rates for their travel insurance. You can book Comprehensive or Essentials cover for your domestic, international or multi- trip journeys simply with us.

Pre and post tour accommodation is not offered as part of this itinerary.

Whistler Connection: transfer from Vancouver hotel to Whistler hotel. With the confirmation of your booking, you will need to supply a contact email address and mobile phone number (inclusive of international calling code), so the transfer company and confirm with you, the day prior to your transfer, your pick-up arrangements.

2 checked bags and 1 small piece of carry-on and a ski bag are included. Please advise if passengers will travel with more than this amount; $10.00 per bag for excess luggage may be charged by the supplier. Weight limit for individual items is limited to max 32kg and size is limited to max 158 cm linear dimensions.

Arrival transfers from Vancouver downtown – Whistler Connection will contact all passengers the day prior to re-confirm pick up arrangements. Pick up times may vary slightly from the originally booked time depending on city traffic and other pickups.

Departure transfers from Whistler – Pick up times for each location are provided at the time of booking. Passengers should be ready with their luggage 5-10 minutes prior to their scheduled departure time. Whistler Connection will send a reminder to the email provided, 3 days prior to travel. If a passenger wishes to change a pre-arranged pick-up time, it will be subject to availability and is recommended to do so 72+ hrs in advance in order to obtain the time they desire. Air North flight from Vancouver to Whitehorse: there are limited, direct flights from Vancouver to Whitehorse each day, therefore we will require your preference of flight time at the confirmation of your booking. Based on 2024 scheduling, the Air North flights might be 0835, 1415 or 1910. Due to your transfer time from Whistler to Vancouver, we strongly recommend the 1415 flight. In order to reach this 1415 flight, we strongly recommend arranging your included transportation from Whistler to Vancouver International Airport no later than 0900-0930.

Luggage policy: Passengers can check in 2 pieces up to 100 lb/45 kg combined; each piece should not exceed 70 lb/32 kg. Each additional piece of luggage is subject to $30 +taxes charge. Overweight is charged at $1 + taxes per pound. Outside dimensions of each piece of luggage cannot exceed 9 inches wide x 16 inches high x 20inches long.

Vancouver: departs from Vancouver Main Terminal (domestic). Departures level 3, line 12. Passengers check in 1.5 hours (90 minutes) prior to departure.

Air North flight from Whitehorse to Vancouver: pending your onwards arrangements from Vancouver International Airport on your final day of this package, there are multiple, direct Air North flights from Whitehorse to Vancouver. Based on 2024 scheduling, they arrive into Vancouver International Airport at 0915, 1405 and 1740. We will be required to know your preference at the time of booking to ensure your onward travel arrangements are not interrupted.

Reservations are cancelled if the passenger is not checked in at the gate 10 minutes prior to scheduled departure.

Whitehorse: departs from Whitehorse International Airport. Passengers check in 1.5 hours (90 minutes) prior to departure.
